Booking Terms & Conditions

1. Booking and Payment

• A 30% non-refundable deposit is required to secure your booking.

  • This deposit cannot be refunded but may, at our discretion, be transferred to another course or event if you cancel more than 30 days before the start date.

• Your booking is confirmed only once the deposit has been received.

• The remaining balance must be paid no later than 30 days before the course start date.

  • If payment is not received by this date, your booking may be cancelled and your deposit forfeited.

• For bookings made within 30 days of the start date, full payment is required at the time of booking.

  • Standard cancellation terms still apply.

• All participants must complete a medical form and a risk acknowledgment form before the course begins.

• Participants must be 18 years or older, or accompanied by a parent or guardian who is also participating.

2. Cancellation Policy

If Butel Mountaineering Cancels

If we must cancel due to unforeseen circumstances (e.g. instructor illness, extreme weather, or safety concerns), you may choose to:

• Reschedule to a later date,

• Transfer to an alternative course or activity, or

• Receive a full refund, including your deposit.

If You Cancel

• 30+ days before the start date: Refund of any balance paid (deposit not refundable).

• 29–14 days before the start date: 50% refund of the total course fee.

• Less than 14 days before the start date: No refund available.

We strongly recommend obtaining travel insurance that covers cancellation, illness (including COVID-19), and unforeseen circumstances.
Our standard cancellation policy applies to all cancellations, including those due to illness or COVID-19.

We are not responsible for additional costs (e.g. accommodation, travel, or equipment hire) arising from cancellations or rescheduling.

3. Changes to Bookings By You

• Requests to change course dates will be considered at our discretion.

  • If approved, your deposit may be transferred to another course or date.

Changes to Bookings By Us

• We make every effort to follow the advertised itinerary, but weather and mountain conditions may require adjustments.

• Safety is our priority.

• If the planned route, summit, or activity cannot be completed safely, we will offer a suitable alternative.

• Specific summits or outcomes are not guaranteed.

• Instructor decisions are final and made in the interest of safety.

• No refunds will be issued for itinerary changes, unsuccessful summit attempts, or shortened days caused by weather or safety conditions.

4. Timing and Attendance

• Please arrive promptly at the agreed meeting point.

• If you are more than 45 minutes late without prior notice, your activity may be cancelled without refund (deposit and balance included).

• Late arrival may result in a shortened itinerary.

5. Insurance and Liability

• Participants are responsible for arranging appropriate insurance covering:

  • Cancellations,

  • Medical costs,

  • Personal accident, and

  • Third-party liability.

• By booking, you acknowledge and accept the inherent risks of mountaineering and outdoor activities.
